Kyocera's PDF Direct Print software utility allows users to send PDF (Portable Document Format) files directly to a printer without the need to open the file in Adobe Acrobat or Acrobat Reader and print using a conventional print driver.

Once-Overwrite Method;

This method over-writes the entire hard drive during the initial disk formatting process.


Three-time Overwrite Method (Default)

The preferred security choice when the highest level of data protection is required.This method encompasses more comprehensive 3-phase data deletion process.


MANUAL “MEMORY SCRUBBER” OPTION

The Data Security Kit helps to secure confidential information when office equipment is retired or resold by providing a manual data deletion capability. This feature ensures that system and/or program management data relating to print/copy/scan usage is rendered unrecoverable by unauthorized third parties.


PASSWORD PROTECTION

Password control ensures that the operation and configuration of the Data Security Kit is always protected from unauthorized user access.

  • DirectoryServices(ProcessComponent)

The Directory Services component connects to an Active Directory Server and uses the LDAP filters to search for users or groups that are part of the AD network structure. These attributes will then become available as an RRT in KYOcapture that can then be used as one of the processes when creating a CFG workflow file. The Directory Services component works with Microsoft AD server and Novell eDirectory server using LDAP version 3.


  • Multi Poll (Capture Component)

The Multi Poll component is designed to enable KYOcapture administrator to easily create workflows related to directory polling. The Multi Poll component is beneficial for companies with large file directory structures and would prefer implementing various capture workflows.


  • LaserFiche (Route Component)

The LaserFiche eConnector and Route components create workflows that capture paper and electronic documents from a variety of sources such as Kyocera’MFP devices, network/local folders, PCs POP3 email servers and routes the documents into LaserFiche. The LaserFiche components identify the repository, template and the volume that will be used to store the documents. You can also add metadata for indexing and create folders dynamically before routing the documents to LaserFiche. The only difference between LaserFiche eConnector and LaserFiche route component is that the eConnector component provides an active option and a Pass-through option. The Pass-through option passes the document to the next component in the process for additional processing and storage. The LaserFiche component supports LaserFiche Client version 7.1.2.


  • FileNet (Route Component) The FileNet component provides the full capability for routing documents and index data into FileNet libraries, classes, and folders. The FileNet component also provides integration with FileNet document security feature to assign users and groups with permissions to access documents that are routed to FileNet. Before using and configuring the FileNet component, the FileNet client software must be installed on the same machine as Workflow Service and it must be fully configured. The FileNet component requires IDM Desktop 3.1


  • IBM Content Manager 8.3 (Route Component) The IBM Content Manager component delivers a scalable and flexible means of capturing content from various sources such as network folders, users desktop, scanners, FTP and SFTP sites and from different manufactures MFP devices. The IBM Content Manager component saves documents defined as a certain item type. You can configure the workflow process to route documents and folders from one user to another user during the life span of the documents. You can also use the IBM Content Manager component to assign certain predefined attributes belonging to an item Type.


  • Send to SFTP (Route Component) The Send to SFTP component supports dynamic file renaming. The Send to SFTP component can be used to setup the KYOcapture workflow process to capture content from shared network folders, SFTP and FTP sites, PCs and MFP devices.

Capture Documents at Kyocera MFPs

KYOcapture is seamlessly integrated with select Kyocera MFPs. If end-users are familiar with copier operation, it is very easy for them to scan paper-based documents applying indexing information and send to business applications through rules-based workflow.


Dynamic Indexing

Users can select indexing options which are the most suitable for their workflow. For example, when you are scanning invoices for archiving, you can select a "Vendor number" from the vendor list, and then input the "Invoice date", "invoice number", " invoice amount" and "Details". The user interface was established with custom keys that allow users to simplify the process. IT administrators and process owners can specify if the field is required or non-required for end-users to index.

Optical Character Recognition (OCR) within KYOcapture is designed as a server based process where documents can be transformed from an image file into a readable/editable format such as MS Office format or text. Through the use of OCR, documents can also be processed into searchable PDF format for archives.

KYOcapture supports linear barcode and 2D (PDF417) Barcode. Using barcode recognition, KYOcapture reads barcodes on the document and extracts meta-data for more accurate and efficient indexing.


Barcode recognition is used for
  • Document Separators - Separate documents based on detection of a barcode. The separator pages can speed up the scanning of a large number of documents by allowing a stack of documents to be fed through the scanner ADF.
  • Indexing - Field index values for a document can be printed on the document. The KYOcapture professional barcode component allows you to read barcode values and assign them to back-end application index fields.
  • Dynamic Routing - Use barcodes to turn features on within KYOcapture or set processing parameters. Any parameter within KYOcapture can be set to barcode values to allow for a dynamic value based routing of documents. This includes destination database, folder path name, processing attributes, and more.

Virtual Image Processing

Virtual Image Processing (VIP) is an integrated process component within the KYOcapture server based framework. Using the KYOcapture process designer, an administrator can use the VIP component within the capture workflows when additional image enhancement is required. It is designed to work with any document scanned using any source, a PC scanner, an MFP, a Digital Copier or even captured through LAN Fax servers. VIP instantly checks and adjusts for alignment (skew), brightness, contrast, and image clarity. Any inconsistencies are immediately corrected by VIP on the server before it is handed over to the processing engines such as OCR, ICR and others.


Some of the features of VIP Include:

  • Color extraction

It keeps the selected color, while all other colors are dropped - users can also select a color to replace the dropped ones in the resulting image.

  • Color dropping

It drops the selected color and replaces it with a substitute color.

  • Thresholding

It converts an image to black-andwhite. All pixels with the brightness level less than the specified level, becomewhite, while others become black

  • Despeckle

It eliminates small speckles on the image.

  • Deskew

It corrects the skewed angle of the image.

  • Adaptive thresholding

ABBYY Enterprise Forms Processing (Structured and Semi-structured Forms)

Integrated with the ABBYY Enterprise Forms Processing technology, KYOcapture provides a client-server solution for input of paper forms using any of the capture modules of KYOcapture. This batch-oriented system lowers the costs and increases the accuracy of form input. KYOcapture Forms Recognition implements module architecture in which every workstation performs a certain set of operations. KYOcapture will simply capture documents from multiple sources such as MFPs, and pass it on to ABBYY FormReader for processing. After the processing is over, the extracted and verified data are sent back into the KYOcapture document workflow for further processing.

Route to Business Applications

The KYOcapture route framework is designed to be integrated with existing document, database and knowledge management systems. In most cases, the integration is managed through a standard/published Software Development Kit (SDK) and established connectivity methods for these applications. This ensures a complete audit trail and document hand-over to the Document Managment System (DMS). KYOcapture Network Authentication Server

In order to secure document input and workflow, KYOcapture offers a Network Authentication option. KYOcapture authenticates users in NTLM, Active Directory, and Novell. Network authentication is a key component for any devices connected to the network. This is a critical feature for security sensitive organizations and compliance requirements, such as Sarbanes- Oxley, HIPPA, and other compliance regulations. Network authentication is seamlessly integrated with the workflow, to ensure optimal auditing and security of the documents being captured.

KYOcapture Network Authentication is a server-based solution. As opposed to device-based authentication, which requires extensive point-to-point management from IT, server-based authentication can be managed centrally, lowering total cost of ownership. With server-based authentication, you can enable clustering, failover and other redundancy techniques. It is also expandable to meet users unique environment.

KYOcapture ABMSync

The KYOcapture ABMSync option is a tool for IT administrators to manage Kyocera device address books by synchronizing Lotus or MS Exchange user profiles with device address books. It provides central management capability for companies which have remote offices.

KM Document Flow
Overview

KM Document Flow is a scanning utility designed to capture and share hard copy documents in a workgroup environment. Using KM Document Flow, documents are indexed at the MFP’s (Multi-Functional Product) operation panel and scanned directly into a selectable network directory. Using your existing network permissions, access to these documents can be limited to the intended users.


KM Document Flow requires two components
  • DB Assistant, Can be installed on a separate server from the Scanner File Utility. This application is used to manage key words, user names and network hierarchical structure. All commonly accessed index and user names can be entered in this application so they are selectable through the MFP’s touch screen interface (Touch Screen Interface) without manually tying in the required information.


  • Scanner File Utility is installed on each server receiving the scanned file. The Scanner File Utility is used to create document indexes and to ensure that all files are delivered to the proper location.

Improve productivity by scanning all your shared hardcopy documents to a folder on a network server. Documents like invoices can be scanned and indexed from the MFP where these files can then be accessed by employees or applications with access to the network directory. Directories can be created for each document type or by customer so they will be easy to locate when required. Directories can exist on different servers, so files can be scanned to selected locations based on departmental requirements.


  • Improve productivity by selecting the proper network location that the document will be scanning into at the MFP

From the MFP's TSI users can select the proper network file directory for their scan. Users can simplify locating files by scanning different file types to different locations. Invoices can be scanned to a customer named directory in the invoice directory, where customer agreements can be placed in their own directory structure on a different server. Scanning into the proper directory will enable you to quickly and efficiently locate all your scanned files.


  • Create index tags at the MFP to enable proper file identification when searching from your corporate document search engine

Indexes that identify the content of the document can be entered at the MFP’s TSI by either selecting pre-entered values from a pick list, or by manually entering the information at the TSI. By properly indexing your scanned files at the MFP you can improve efficiency and save time by eliminating the need to scan the file, open it in another application and enter the index information.
